Meetings between the service provider and representatives from the EACI and the European Commission may be held at the EACI or Commission premises in Brussels.

The 'Sustainable energy Europe' campaign shall promote renewable energy and energy efficiency policy by building on and continuing successful elements of previous campaign phases.

This tender involves the organisation of the annual EU Sustainable Energy Week and awards (including both Energy Days and a high-level policy conference of the European Commission) as well as some networking activities, covering the years 2012–2015. The duration of the tender shall not exceed 36 months.

More specifically, this tender serves 3 main objectives:

1) be a forum to spread policy messages on renewable energy and energy efficiency policy;

2) showcase outstanding sustainable energy practices;

3) create and maintain a network of campaign supporters to reach out to local, regional and national levels.

To achieve these objectives, this tender includes the following tasks:

1) swift handover from the previous contractor;

2) organising the EU Sustainable Energy Week 2012 during the last 3 months prior to the event (18–22.6.2012), notably media relations, promotional tools and conference logistics;

3) full organisation of the EU Sustainable Energy Weeks 2013 and 2014 including:

— mobilise hundreds of Sustainable Energy Days across Europe,

— organise a yearly awards competition and high-level awards ceremony,

— organise a high-level EU policy conference in Brussels,

— revamp and maintain the website,

— carry out media relations (social media, stories on awards projects, media highlights programme for the EU policy conference, support media work of Energy Days, etc.),

— create and distribute promotional tools;

4) kicking-off organisation for the EU Sustainable Energy Week 2015;

5) throughout the year, the service provider is expected to organise up to 2 stakeholder events in Brussels for up to 150 participants.

The key target groups are:

— experts dealing with energy matters in the private, public and non-governmental sectors,

— local, regional and national public authorities and governments,

— the European public at large,

— media and other multipliers.
